Official Event Policies

4th Annual Trunk or Treat, presented by Rocky Mountain Foot & Ankle and Core Medicine.

Last updated: September 20, 2026

We want the 4th Annual Trunk or Treat to be a safe, organized, and enjoyable experience for every family. By registering for or attending the event, attendees agree to follow the policies below.

1. Family-Friendly Event

The Trunk or Treat is a family-oriented community event. Children must remain under the supervision of a parent, legal guardian, or responsible adult while attending the event.

Parents and guardians are responsible for supervising children in their party throughout the event.

Please be respectful of other families, event staff, volunteers, sponsors, vendors, and participating organizations.

Event staff reserve the right to address disruptive, unsafe, threatening, or inappropriate behavior and may require an individual or party to leave the event when necessary to protect attendees or event operations.

2. Registration

Families are encouraged to register before attending the event.

Registration information helps event organizers estimate attendance, manage crowd flow, communicate important event information, and provide attendees with their event QR code.

Please provide accurate information when registering.

One registration should generally represent one family or attending party unless otherwise directed by event staff.

Registration does not guarantee admission at a particular entrance or exact time if capacity or safety conditions require event staff to temporarily redirect or pause entry.

3. QR Code & Event Access

Registered families will receive a unique QR code associated with their registration.

Your QR code may be used by event staff to:

  • Verify your registration
  • Admit your party into an event section
  • Record entry into different event sections
  • Help manage crowd levels and traffic flow
  • Determine which portions of the event your party has already completed

Please have your QR code available when approaching an event entrance.

A family's QR code should not be intentionally shared with another family or unrelated party.

If you cannot access your QR code, event staff may assist with locating your registration.

4. Event Sections & Crowd Management

The event may operate using multiple entrances, sections, or routes to provide a better attendee experience and reduce congestion.

Your registration selection helps us understand which section or sections your family intends to visit.

During the event, staff may recommend or direct attendees toward a particular entrance or section based on current attendance levels, traffic, safety considerations, or operational needs.

Attendees who are eligible to visit multiple sections may be required to scan their QR code again before entering another section.

Once a party has completed all eligible sections, additional entry may be restricted so that other registered families have an opportunity to participate.

5. Children & Supervision

This event is designed for families and children.

Children must be accompanied and supervised by a responsible adult.

Event staff, volunteers, sponsors, trunk participants, and organizers do not assume responsibility for supervising individual children.

Parents and guardians should establish a plan with their children in case they become separated.

If a child becomes separated from their family, immediately notify an event staff member.

6. Costumes, Props & Conduct

Costumes are encouraged.

For the safety and comfort of attendees:

  • Costumes should be appropriate for a family event.
  • Costumes should not significantly obstruct walkways or create a tripping hazard.
  • Real weapons are prohibited.
  • Costume weapons or props that could reasonably be mistaken for real weapons may be prohibited at the discretion of event staff.
  • Harassment, fighting, threatening behavior, or intentionally unsafe conduct will not be permitted.

Event organizers may ask an attendee to remove or secure a costume item or prop that creates a safety concern.

7. Candy, Food & Allergies

Candy, treats, food, beverages, promotional products, and other items may be distributed by participating trunks, sponsors, vendors, or organizations.

Parents and guardians are responsible for reviewing items before they are consumed or used by children.

Event organizers cannot guarantee that candy, food, beverages, or other distributed products are free from peanuts, tree nuts, dairy, gluten, dyes, or other allergens.

Families with food allergies or dietary restrictions should use appropriate caution and review individual product packaging whenever available.

8. Medical & Emergency Situations

If you or a member of your party experiences a medical emergency, contact event staff or emergency services immediately.

Participation in the event does not create a physician-patient relationship with Rocky Mountain Foot & Ankle, Core Medicine, their physicians, providers, employees, or participating organizations.

Medical professionals who may be present at the event are not a substitute for emergency medical services.

For emergencies, call 911.

9. Parking & Traffic

Please follow all posted signs and instructions from event staff regarding parking, vehicle movement, pedestrian routes, entrances, and exits.

Parking availability is not guaranteed.

Vehicles should only be parked in designated areas. Vehicles blocking emergency access, traffic routes, entrances, exits, or other vehicles may be subject to removal when necessary.

Please drive slowly and use additional caution because children and families may be walking throughout the event area.

10. Photography & Video

Photography and video may occur during the event for event documentation, promotional, social media, or community-outreach purposes.

We will make reasonable efforts to respect requests from attendees who do not wish to be intentionally photographed.

Parents and guardians remain responsible for determining whether they are comfortable with their children participating in areas where event photography or recording is taking place.

Attendees are also asked to be respectful when photographing or recording other families.

Photos that you upload through the Trunk or Treat app for the costume contest or photo challenges are covered separately by the App Terms of Use. They are used only for the event and its contests and are not used in advertising, on social media, or in other marketing without asking you first.

11. Privacy & Registration Information

Information submitted during registration is used for purposes related to operating and administering the Trunk or Treat event.

This may include:

  • Processing registration
  • Generating and managing QR codes
  • Managing event access and attendance
  • Monitoring event capacity and crowd flow
  • Sending registration confirmations
  • Providing event reminders or important updates
  • Responding to attendee questions
  • Improving future events

Registration information is never sold or rented. It is never shared with sponsors, vendors, or other third parties for their own use, and sponsors and vendors do not receive the registration list or attendee contact information, including as a sponsorship benefit.

Access to registration information is limited to authorized event personnel and the service providers that need it to operate or support the event, and to disclosures required by law or needed to protect someone's safety.

Because this is a community event registration system, attendees should not submit medical information, Social Security numbers, financial information, or other unnecessary sensitive information through the registration form.

12. Email & Event Communications

If you elect to receive event communications, the contact information provided during registration may be used to send information regarding the Trunk or Treat, including confirmations, reminders, schedule information, parking instructions, QR-code information, weather notices, and important event changes.

Event-related operational communications may still be necessary when required to administer a registration or communicate a significant change affecting registered attendees.

13. Weather, Cancellation & Event Changes

The event schedule, layout, entrances, activities, participating trunks, vendors, and other event details are subject to change.

Weather, emergencies, safety concerns, governmental restrictions, or other circumstances outside the organizers' control may require the event to be delayed, modified, relocated, or canceled.

When reasonably possible, significant changes will be communicated through the event website and/or the contact information provided during registration.

14. Assumption of Risk

Participation in a public community event involves ordinary risks associated with crowds, parking areas, pedestrian traffic, weather, costumes, food and candy, temporary event equipment, and interaction with other attendees.

Attendees are responsible for exercising reasonable care for themselves and members of their party.

Nothing in these policies is intended to waive rights or responsibilities that cannot legally be waived under applicable law.

15. Event Staff Authority

Event staff may make reasonable operational or safety decisions that are not specifically addressed in these policies.

This includes temporarily limiting entry, redirecting attendees, modifying traffic patterns, closing an area, or changing event procedures when reasonably necessary for safety, crowd management, or event operations.

16. Questions

Questions regarding registration, event access, accessibility, or these policies should be directed to the event organizers using the contact information provided on the official Trunk or Treat website.
